What do you look for when deciding which people and companies you want to align your organization with? What makes you look at a company and say to yourself, “I want to do business with those guys”?
Sometimes this process can be a little intimidating. Anybody can say the right thing during the sales cycle, but you need to know that they’re going to deliver on everything they promised so you get the results you’re looking for.
Choosing a managed print provider is no different. Contracts typically last 3-5 years so you need to be sure that your provider will fully understand your needs and work tirelessly to manage your entire printer operations from end-to-end so you can focus your time and energy on big picture items.
We put together a little checklist for you. If you’re looking for an MPS provider and you’ve got multiple options on the table ask these questions!
Who are your current customers? Can I speak with them?
Going above and beyond for customers creates a whole wealth of evangelists who would love to share their positive experience. If you’re speaking with a potential MPS provider that’s hesitant to let you speak to their existing business, there’s probably a reason! imageOne has a credibility list of customers that we’d love for you to speak with so you can see that we walk the walk and talk the talk.
What does the SLA look like?
Setting expectations for the service level agreement up front is crucial. You’ll want to know that your provider can service all of your locations. And what is the expected response time to resolve issues when they happen? Get a clear understanding of how the partnership will work.
What type of equipment would you recommend for my environment?
This one is key, so don’t let them off the hook by just saying brand names like Xerox or HP. Get specific! Many times, MPS providers will come in with an agenda of which items they want to sell to you before they even get a full understanding of what your needs are.
How much should I be spending on print?
Most IT leaders don’t have much, if any at all, visibility to their printing costs. When you partner with imageOne, we’ll look at all of your expenses, invoices, contracts, and more to show you exactly what your cost is. And the next thing we’ll show you--which you’ll love--is how you can spend less!
I’ve got multiple vendors. Can you replace them all?
A good MPS provider should be a one-stop shop for printer repair, customer service, toner and ink replacement, optimizing your print environment, print security--everything! imageOne can handle it all and in the rare cases that we can’t, we’ll come up with a creative solution that will get you what you need.
How secure are your devices and document sharing services?
No matter what industry you’re in, you’ve got documents and data that are critical to protect. Sometimes security leaks are from malicious intent, and sometimes they’re caused by a blind spot in your security protocols. Your MPS provider should be able to identify your vulnerabilities and help you eliminate any potential risks with secure devices and streamlined processes so you can be rest assured your data is in good hands. Skimping on the security conversation is a MAJOR red flag!
